Asana to Jira: A 2025 Migration Guide

This document is intended to serve as a comprehensive guide for users transitioning from Asana to Jira. It provides essential insights into the migration process, including the technical requirements, key differences between the platforms, and detailed steps to ensure a seamless transition.

It will cover everything from preparing your Asana workspace, mapping workflows and data fields, to leveraging Jira's advanced features post-migration. Whether you are an administrator orchestrating the migration or a team member seeking to understand the impact on your daily tasks, the guide is equipped and designed to ensure a very seamless process of migration.

By the end of this document, you will have a clear understanding of the migration process, best practices to follow, and troubleshooting techniques to address potential challenges. Let’s embark on this journey to unlock the full potential of Jira for your team.

Walkthrough on setting up project features and aspects in Asana before the migration

Initially, you create a project on our board right after getting received by the welcome screen on Asana, which will look like this:



If you don’t have any projects created yet. by clicking on the '+' sign in the left column right next to the word Projects, should look like this:

If selected the previous option, you will be taken to the main screen where you will be able to create your first project, here you will have to choose from 3 options which consist of the following:

For the sake of this example you will be creating a blank project, which screen will look like this, you can select which team it will be assigned to, the privacy and which kind of view to use on it:

Once the project has been created, the main screen will show, and you will be taken to the board screen, here you can highly customize the looks of your board, project.. etc
In this screen, you can modify each section, as well as add more of them, 'Sections' behave as states in which you can drag the tasks to change their statuses and thus, affecting the workflow by triggering automation rules.

In the next image, i created 2 more sections and named them after the most common statuses for tasks in a software management project, but you can play with your own team/tasks needs and states.

If you click the 'add task' button you will be taken to a sub-screen where you will be able to create a task, and set some of their features such as the assignee, due date, the project that it belongs to and some other features that are also customizable via the task options later on.

In the bottom part after creating the task you will also be able to create any subtasks linked to this current task, you can see any comments related to this task, and also see and edit (if you have permission) the task description.


In the top corner of the task description screen, you will be able to react to the task, attach files to it, copy it’s link to share it elsewhere, you can check also if there are any subtasks or if you want to add any subtask to the current task you are working at. Here is how that small bar looks like:


After creating enough tasks, you will also be able to add ‘Custom fields’ to the tasks you are working on, this are called ‘Fields' in Asana, and can be created by clicking the 'add field’ button which will bring you to the following screen

In the previous screen you can create your own custom field, which you can choose which type of field it will be set as. There is a wide variety of types to choose from, you will then name your field, and if it’s a field which will have multiple options which can be selected, you can also set those options here.

At the bottom, there are two checkboxes which you can click and will add the current field to your workspace library to use it in the future, and also to notify the collaborator’s.

After creating your fields, they will appear on all tasks within your project, and you will be able to set values to it’s own respective fields by clicking on them like it’s shown in the next picture.



After setting this fields with their respective values, they will also be reflected in the board, and should look like this…

Asana offers multiple views that you can configure for your workspace, one of them is called the Timeline View, which will be shown next

The next view is the calendar view which you can have or hide from your board main bar features. It looks like this, and you can also create task without changin views and drag them at your own will.

In the same configuration bar, you will see 'Workflow' in this tab you will be able to configure any automation rules during the workflow of your project, such as which actions should be automatically performed when a task is set on that specific section. You can also manage how are tasks going to be added to this project (intake source), here is the workflow view:

In Asana, there is a specific type of updates which are called ‘Messages’ these are a feature that allows team members to communicate directly within the platform. They are used to:

  • Facilitate Discussions: Send messages to individuals, multiple people, or entire teams for discussions that don’t fit into tasks or projects.

  • Share Updates: Provide updates, share ideas, or discuss topics that require input without attaching them to specific tasks.

  • Keep Communication Centralized: Unlike emails or external chats, messages in Asana keep all communication tied to the work being done within the platform.

Messages can include attachments, links, and formatting, making them versatile for various types of communication within teams. They look like this:

Next to it, you can see the attachments tab, which will allow you to take a look at all the attached files on your current project, and finally you can also create a Gannt’s view which will automatically gather all the tasks for that project and create a view which will look like this:

Asana has a feature called 'Workload view' in which is a feature designed to help teams and project managers monitor and manage team members' capacity and workload. Here's a brief overview:

  • Visualize Team Capacity: The Workload view provides a clear visual representation of each team member's assigned tasks across projects, displayed in a timeline format.

  • Balance Workload: It helps identify overbooked or underutilized team members, enabling managers to reassign or redistribute tasks to ensure a balanced workload.

  • Customization: Users can customize the workload view by defining capacity limits (e.g., number of tasks, hours) and tracking metrics based on task count or effort (e.g., hours, points).

  • Integration with Timelines: It integrates seamlessly with project timelines, allowing managers to adjust task dates and deadlines directly within the workload view.

  • Proactive Resource Management: By providing insights into team availability, the workload view helps prevent burnout and supports better planning for current and future projects.

This feature is particularly useful for teams managing multiple projects simultaneously, ensuring everyone can work efficiently without being overburdened.

Asana vs. Jira: A Detailed Comparison

Conclusions after the first migration toward Jira

The test migration from Asana to Jira was executed methodically to ensure a seamless and disruption-free transition for the entire organization. The process began with a detailed analysis of Asana's data structure, including projects, tasks, subtasks, comments, custom fields, attachments, and due dates. This allowed us to map these elements accurately to Jira's corresponding features such as issues, subtasks, and custom fields.

A dedicated test environment was set up in Jira to simulate the migration without affecting live systems. Custom scripts and third-party migration tools were utilized to export data from Asana and import it into Jira, maintaining data integrity and formatting. Throughout the test migration, key stakeholders reviewed the mapping to ensure that task dependencies, priority levels, and workflows were correctly aligned with Jira's configurations.

To validate the success of the test migration, extensive testing was conducted. This included verifying the accuracy of data transfer, ensuring all comments, attachments, and field mappings were preserved, and confirming that workflows behaved as expected. Teams were invited to test the setup, providing feedback on usability and any discrepancies observed.

Comprehensive training sessions were conducted to familiarize team members with Jira’s interface and features, focusing on how their existing workflows would translate into the new system. This ensured that users could adapt easily to Jira once the full migration was implemented.

The test migration provided valuable insights into potential challenges, allowing us to refine scripts and configurations before the final migration. As a result, the test phase served as a crucial step in preparing for a seamless and fully successful transition from Asana to Jira.
